Nobody likes hearing their own voice. So the greeting waits. For months.

You try it in the truck. By take nine a horn goes off and the kids start yelling. You give up and leave the robot on.

Or worse, callers get: _“The number has a voicemail box that has not been set up.”_

> **Short on time?** Don’t want to write and record this yourself? We’ll do it for you. [See how](#done-for-you)

## Why a professional voicemail greeting matters

Your greeting is often a new customer’s first “hello” from your business.

- **The robot** doesn’t say who you are, so callers aren’t sure they reached a business.
- **“Not set up” or “mailbox full”** leaves nowhere to leave a message. A lot of callers just move on.
- **Your personal greeting** means your mom and your customers hear the same thing. One greeting can’t do both jobs.

## What greeting should I use for voicemail?

Use one that says your business name, tells callers what to leave, and says when you’ll call back.

> “Hey, thanks for calling **\[Business Name\]**. Can’t grab the phone right now. Leave your name, number, and what you need, and we’ll call you back **\[today / tomorrow morning\]**.”

### What makes it sound professional?

It comes down to a few things:

- **The usual order:** your business name first, then what to leave, then when you’ll call back.
- **Short:** 10 to 30 seconds. Skip the website, the Facebook page, and the license number.
- **You on a good day:** a little slower than normal, and smiling. People can hear it.
- **Honest promises:** say “today” only if you’ll really call today.

## What are some professional voicemail greetings?

Copy one and swap in your details.

**Everyday**

> “Hi, thanks for calling Northside Plumbing. We can’t get to the phone right now. Leave your name, number, and what’s going on, and we’ll call you back today.”

**Short and sweet**

> “You’ve got Northside Plumbing. Leave your name and number and we’ll call you back.”

**Owner-operator**

> “Hey, it’s Sam at Northside Plumbing. I’m probably elbow-deep in a job. Leave your name, number, and what you need, and I’ll call you back today.”

**After hours**

> “Thanks for calling Northside Plumbing. We’re closed for the night and back at 7 tomorrow. Leave a message and we’ll call you first thing.”

**Time off**

> “Hey, Northside Plumbing here. We’re off until **\[day\]**. Yes, even plumbers take vacations. Leave your name and number and we’ll call you when we’re back.”

**Small team**

> “Thanks for calling Northside Plumbing. We’re all tied up with customers. Leave your name, number, and address, and one of us will call you back today.”

**“Text works too”** _(only if you actually check texts)_

> “Hi, you’ve reached Northside Plumbing. Leave a message, or text this number with your name and address. We’ll get back to you today.”

## How to record it (even if you hate your voice)

Your first take will be rough. Everybody’s is.

1. **Write it down.** Winging it means three “ums.”
2. **Go somewhere quiet.** The truck doesn’t count. A closet works.
3. **Hold the phone a few inches away** so your “p”s don’t pop.
4. **Do several takes.** Keep the most natural one, not the “perfect” one.
5. **Call your own number** and listen like a customer.

### Mistakes to skip

- **Leaving the robot on**, or never setting up voicemail at all.
- **A full mailbox.** Clear old messages.
- **The forever holiday greeting.** “Happy Thanksgiving” in February.
- **Background noise.** Wait until the saw is off and the kids are outside.
- **Fake departments.** If billing is you at the kitchen table, skip “press 4 for billing.”

## What is a professional greeting to use when answering the phone?

Say your business name and your own name. Pick one version and use it every time.

> “Hey, Northside Plumbing, this is Sam.”

> “Morning, Northside Plumbing, Sam speaking. What can I do for you?”

Slow down on the business name, since people miss the first couple of words. And it’s fine to say “give me one sec” and step away from the saw.

The catch: on your personal cell, you can’t tell a customer from a robocall or your kid’s school. So you say “Hello?” and hope.

## Rather not deal with it? We’ll handle it

With **GBPN**, you get a separate business number for **$30 a month total, taxes and fees included.** **We record your greeting for you**, with your business name. No nine takes in the truck.

You also get:

- **A business number that rings the cell you already carry.** No second phone.
- **Business calls that announce themselves** before you pick up, so you know when to answer with your business name.
- **Business hours,** so after-hours calls go to voicemail while your phone stays on for family.
- **Voicemail to email as text,** so you can read messages between jobs.

And your mom still gets your personal voicemail. **30-day money-back guarantee** if it’s not for you.

## FAQ

**How long should a professional voicemail greeting be?** 10 to 30 seconds. Enough for your business name, what to leave, and when you’ll call back.

**Should I say my name or my business name?** Business name, always. Add your first name if you’re a small shop.

**Do I have to record it myself?** Nope. Use the tips above, or let a service like GBPN record it for you.

**How often should I update it?** Every few months, and any time your hours change or a holiday’s coming.

**Is it unprofessional to use my personal cell for business?** It’s really common. The downside is customers hear your personal greeting, and you can’t tell business calls from personal ones.
